Add Users to Your Senturo Organization

Introduction

This article explains how to invite team members to your Senturo account. You can invite users individually or use the bulk upload feature to add multiple users at once. Follow these steps to grant team members access to your Senturo account.

Steps to Invite Team Members

1. Navigate to Account Settings

Access User Management:

  • Sign in to your Senturo dashboard
  • Click on Account Settings in the left navigation menu
  • Select the Role Management tab

2. Click Invite Users

Start the Invitation Process:

  • Click the Invite Users button
  • A modal window will open with invitation options

3. Choose Invitation Method

Select How to Add Users: You have two options for inviting team members:

Single User: Add one team member at a time Bulk Upload: Import multiple users via CSV file

Single User Invitation

1. Select Single User Tab

Individual Invitation:

  • Click the Single User tab in the invite modal
  • You'll see fields for user information

2. Enter User Details

Provide Required Information:

  • Email Address: Enter the team member's email
  • Role: Select from available roles:
    • Group Admin
    • Admin
    • Investigator
    • Analyst
    • Broadcaster
    • Remote
  • Groups: Assign to device groups (optional)

3. Send Invitation

Complete the Process:

  • Review the entered information
  • Click Send Invitation
  • The user will receive an invitation email
  • You'll see a confirmation message

Bulk User Upload

1. Select Bulk Upload Tab

Multiple User Import:

  • Click the Bulk Upload tab in the invite modal
  • You'll see the CSV upload interface

2. Prepare Your CSV File

CSV Requirements: Your CSV file must include these columns:

  • Email: User's email address
  • Role: User role assignment
  • Groups: Device groups (optional)

Maximum Upload: 100 users per CSV file

3. Upload CSV File

Import Users:

  • Click Browse Files or drag and drop your CSV file
  • The file will be validated automatically
  • Review any errors or warnings
  • Fix any formatting issues if needed

4. Send Invitations

Complete Bulk Import:

  • After successful upload, review the user list
  • Click Send Invitations
  • All users will receive invitation emails
  • You'll see a summary of sent invitations

Managing Invitations

Viewing Invitations:

  • Click the Invited Users tab to see pending invitations
  • All users who haven't accepted their invitation appear here
  • Once users accept their invitation, they move to the Current Users tab

Revoking Invitations:

  • Navigate to the Invited Users tab
  • Find the invitation you want to cancel
  • Click the menu (three dots) next to the invited user
  • Select Revoke Invite
  • The invitation will be cancelled

Invitation Status:

  • Invited Users tab: Shows all pending invitations
  • Current Users tab: Shows all active team members
  • Invitations remain pending until accepted

What Recipients Receive

Invitation Email Contains:

  • Welcome message from Senturo
  • Organization name they're joining
  • Link to accept invitation
  • Instructions for account setup

After Accepting:

  • Recipients click the invitation link
  • They're directed to set up their account
  • They create their password
  • They can immediately access Senturo
  • They appear in the Current Users tab

CSV Template

Download Template:

  • Click Download CSV Template link in the bulk upload section
  • Use this template to ensure proper formatting
  • Fill in user information
  • Save as CSV format

Template Columns:

  • Email (required)
  • Role (required)
  • Groups (optional)

Troubleshooting

CSV Upload Errors:

  • Invalid email format: Check for typos in email addresses
  • Duplicate emails: Remove duplicate entries
  • Invalid role: Ensure roles match exactly (Group Admin, Admin, Investigator, Analyst, Broadcaster, Remote)
  • File too large: Split into multiple files (max 100 users each)

Invitation Not Received:

  • Check recipient's spam folder
  • Verify email address is correct
  • Check with IT about email filtering
  • Contact support if issues persist

Before Inviting:

  • Define user roles and permissions
  • Organize device groups if needed
  • Prepare user list with accurate emails
  • Communicate with team about incoming invitations

Role Assignment:

  • Assign minimum necessary permissions
  • Review role capabilities before assigning
  • Use Remote role for read-only access
  • Reserve Admin and Group Admin roles for key personnel
